Job Description:
Reporting to the Manager, Program Management Office for IT Business Technologies, this position combines project administrative support responsibilities with project coordination for the team.
As Project Coordinator, you will assist and support the Manager and the program staff. This will include calendaring, coordination of special projects, program presentation creation, spreadsheet documentation and analysis, project / program metrics analysis, project management documentation, and day-to-day project support.
You will coordinate activities within the PMO, which may include project managing small to medium projects through the project lifecycle.
The key to success will be your ability to manage multiple priorities and activities, and work collaboratively across multiple stakeholder groups. The jobholder must be bring the ability to manage multiple priorities flexibly, learn quickly and collaborate broadly to achieve results. Demonstrated strengths in discretion, good judgment, execution, and collaboration are very important.
Key Responsibilities:
- Project Administration and Support
- Uses experience and good judgment to take initiative in facilitating Company's programs, policies and procedures.
- Responsible for solving problems of a complex nature based on experience and knowledge consulting directors or other management staff on decisions affecting budget, business, etc
- Deal professionally with sensitive and confidential matters and materials.
-Manages day-to-day project processes associated and coordinating team activities between the Collaboration Business Technologies team with the Corporate Communications IT Team with little to no supervisory input.
-Recommend process improvements and innovations for the group
-Manage schedules and coordinate calls and meetings across time zones
-Troubleshoot technology issues, secure appropriate resources to resolve and drive to closure
-Draft, process and track project budgets.
-Serve as a "gatekeeper" when required and discern between necessary and non-essential 3rd-party requests
-May be involved in operational / client support during projects
-Ability to work with other business units and at various levels within the organization.
Project Coordination:
-Manages small to medium projects throughout the project lifecycle (initiate, plan, execute, control, close) or a portion of a larger, more complex project
-Requires cross geographic collaboration.
-Works with business owners to develop team charter, including project manager authority.
-Works with stakeholders to formulate and define project scope and objectives; and to define project requirements and deliverables.
Plans and directs activity definition and sequencing, project schedules/milestones, deliverables, cost estimates, quality requirements and plan.
-Monitors the budget and takes corrective action when needed.
-Defines resource needs and assigns responsibilities within the project team.
-Monitors and communicates progress of project to all stakeholders as required.
-Ensures that the quality of project deliverables meets customer requirements.
-Identifies, analyzes and develops risk response plans.
-Conducts integrated change control including project plan updates and performance reports.
-Develops and documents lessons learned and creates project archives.
-Identifies and initiates proactive and corrective action.
Knowledge and Experience:
-2+ years related project management experience preferred
-Experience with project management software and tools
-Familiarity with collaboration tools such as wikis, discussion forums, and other *social networking* tools to facilitate program communications
-Expert in MS Office applications for documentation and analysis (Excel, PowerPoint, etc.)
-BS/BA degree or equivalent preferred
